How to Prepare Your Team for a Corporate Headshot Session
Getting your team ready for a corporate headshot session doesn't have to be stressful.
The goal isn't to turn everyone into models. It's to make sure your team looks professional, confident and consistent across your website, LinkedIn profiles, company profiles and other brand materials.
Here are six simple ways to prepare your team for a smooth corporate headshot session.
1. Give everyone a clear dress code
Don't just tell your team to “dress professionally.”
Give them simple guidelines.
Solid colours usually photograph beautifully. Avoid very loud patterns, large logos and anything that makes the person uncomfortable. Clothes should be clean, well-fitted and preferably wrinkle-free.
If your brand has specific colours or a particular visual identity, communicate that ahead of time.
Consistency doesn't mean everyone has to wear the same thing.
2. Give them enough notice
People need time to prepare.
Share the shoot date, time, location, dress expectations and any other instructions at least a few days ahead.
This gives everyone time to sort out their outfits, hair, makeup and schedules without rushing.
3. Remind them about grooming
A simple reminder goes a long way.
Hair should be neat, facial hair groomed and outfits prepared before they arrive.
If your team wears makeup, encourage a polished, natural look that still feels like them.
The goal is to look like the best version of themselves—not like somebody else.
4. Create a schedule
If you're photographing a large team, don't leave everyone waiting around.
Create time slots or organise people by department or team.
This keeps the session moving and means your employees can get back to work without spending half the day waiting for a photograph.
For large corporate headshot sessions, having someone from the company coordinate the schedule is especially helpful.
5. Tell them they don't need to know how to pose
This is probably the biggest worry people have.
“But I don't know how to pose.”
You don't need to.
That's the photographer's job.
Your team simply needs to show up. We'll guide them through their positioning, expression and posture so they don't have to figure it out themselves.
6. Decide on the look before the shoot
Before your corporate photography session, decide what you want the final images to feel like.
Think about your:
- Background
- Lighting
- Framing
- Expression
- Crop
- Overall visual style
When everyone is photographed with the same visual direction, your company looks more polished and intentional.
Your team doesn't need to be photogenic. They just need to show up.
